Privacy
This page explains how Backup Vertex Base handles personal data when you write to us, host a visit, or use this website. It is written for an observation practice, not for a consumer app store.
Data controller

What we collect
From the contact form: name, email, the work you selected, a preferred week, a site or town, and the message you wrote. From a booking: operator first names or roles you approve, shift times, and feature names as they appear on your screens. We do not ask for identity card numbers, backup passwords, or copies of recovered files.
If you telephone the office, we may write a short note of the call so the practitioner who attends is not guessing. Website logs kept by the host may include IP address and browser type for a short period. Cookie use is described on the cookies page.
Why we use it
We use enquiry data to reply, quote, and schedule. We use observation notes to produce the usage note or path sheet you booked. We use a stored cookie choice so the banner does not return every page load. We do not sell lists of enquirers and we do not use observation remarks for advertising.
Retention
Unsuccessful enquiries are kept for twelve months in case you write again about the same week. Signed quotes, invoices, and deposits are kept for seven years to meet ordinary Malaysian accounting practice. Handwritten notebooks from a visit are typed, then the paper is shredded within ninety days unless you ask us to return it. The delivered PDF is yours; we keep a copy for two years so a quarterly check-in can compare wording, then we delete it unless a longer series is still running.
Who else sees it
Practitioners on the visit see what they need for that visit. Our accountant sees invoices, not usage notes. The website host sees technical logs. We do not pass operator remarks to software vendors. If a briefing must include a third party you name, you instruct us in writing.
International transfers
The office and the notebooks are in Malaysia. Email and this static site may be processed on servers outside Malaysia used by our host or email provider. When that happens, we rely on the provider’s published safeguards and we avoid putting restore data or passwords in those channels.
Your rights
You may ask what personal data we hold about you, ask for a correction, or ask us to delete an enquiry that has not become a paid booking. You may withdraw a cookie choice by clearing the stored key or writing to us. If you are an operator named in a note, we will discuss redaction with the organisation that booked the visit, because the note is their record as well as a document that may contain your remarks.
To exercise these rights, write to info@backupvertexbase.digital. We aim to reply within thirty days. You may also contact the relevant Malaysian authority that oversees personal data complaints.
Children
This site is for organisations booking observation work. We do not knowingly collect data from children.
Changes
If our practice changes — for example a new email host — we will update this page. The date of the booking still governs how that booking’s notebooks are kept.
